BrandShelter provides invoices and credit notes in structured XML formats compliant with EN 16931, the European standard for electronic invoicing.
The XML file is available in addition to your existing PDF invoice. You can download it from the platform or choose to receive it automatically by email.
How to download an XML invoice
To download an invoice or credit note in XML format:
- Sign in to the BrandShelter platform.
- Go to the Billing → Invoices.
- Find the invoice you want to download.
- Click on the burger menu and choose Download.
- Select one of the following options:
- XML (UBL)
- XML (CII)
- The XML file will be downloaded to your device.
Please note that XML files are only available for invoices and credit notes issued on or after 17 September 2026, when this functionality was introduced.. Previously issued documents are not be converted retrospectively.
How to receive XML invoices by email
You can choose to receive an XML file automatically together with the PDF attached to your invoice emails.
To configure email delivery:
- Sign in to the BrandShelter platform.
- Go to Billing → Settings.
- Find Include an EU-compliant structured electronic invoice.
- Select your preferred option:
- Off (PDF only)
- UBL (Peppol BIS, XRechnung)
- CII (Cross Industry Invoice)
- Select by email to receive the XML file as an email attachment.
- Save your changes.
The selected XML format will be attached to emails for newly issued invoices and credit notes together with the existing PDF.
How to change or disable XML invoice delivery
You can change your selected XML format at any time under Billing → Settings.
To stop receiving XML files by email, either:
- Clear the by email option; or
- Select Off (PDF only) if you do not want an XML format selected.
Which XML format should I select?
BrandShelter supports both XML formats defined for EN 16931-compliant electronic invoicing:
- UBL (Universal Business Language): Used by electronic invoicing standards and networks such as Peppol BIS and XRechnung.
- CII (Cross Industry Invoice): Used by electronic invoicing solutions including XRechnung and ZUGFeRD.
The correct format depends on the requirements of your accounting system and the regulations applicable to your business.
Is XML delivery enabled automatically?
For new and existing customers located in the European Union, XML invoice delivery is enabled by default.
For customers located outside the EU, it is disabled by default. However, non-EU customers can download XML invoices or enable automatic email delivery at any time.
Will my PDF invoices change?
No. PDF invoices remain unchanged.
The structured XML file is an additional format and does not replace the PDF invoice.
Are credit notes also available in XML format?
Yes. Newly issued credit notes are also available in UBL and CII formats.
Invoices and credit notes are created as separate documents, and each document has its own corresponding XML file.
